Food & Beverage Coordinator

The purpose of this role is to provide the Food & Beverage team with professional administrative support, manage and co-ordinate the RASV internal hospitality as well as external event catering. This role ensures all catering operations are delivered to a high quality and service in line with customer requirements.

Key Responsibilities:

• Coordinate the administration tasks of conducting events at and around the Royal Melbourne Showgrounds
• Collaboration and timely communication with staff in other departments regarding event details
• Coordinate casual staff, support staff and volunteers for events as required
• Assist with preparation of pre vent budgets, and post event actual costings
• Ability to fulfil events staff roles such as food & beverage waiter, beverage dispense and back of house general duties when required.
• Build relationships with clients, stakeholders, vendors and industry suppliers
• Assist with the delivery and site placement of plant and equipment pre event, as well as the removal of plant and equipment post event
• Assist with the service of food and beverages at RASV events as required
• Ensure that appropriate controls are in place to minimise the occurrence of risks in conjunction with the Health, Safety & Environment Manager
• Contribute to the strategy and business planning of the business unit (Catering)
• Provide support to other RASV events as required
• Participate in staff meetings and allocated team projects

Food & Beverage Coordinator - Advert

Venue Operations Coordinator

This position is responsible in providing high-level customer service and event operations support to Melbourne Showgrounds external event clients and RASV clients in the conduct of RASV events. The Venue Operations Coordinator will report to the Venue Operations Team Leader. This position supervises other operational, casual and contract staff on an event-by-event basis.

Key Responsibilities:

  • Work with the event manager and event coordinator to ensure all event management and operational elements associated with event delivery, including plant and equipment, operation and delivery, handover of facilities, traffic management, car parking are conducted in a seamless manner and in accordance with client and RASV expectations and budget;
  • Execute events as per ‘Event Order’ and ensure all venues/buildings/sites in which events will be held (internal and external) are set up in a timely manner with the correct furniture and equipment as stipulated by clients and event managers;
  • Quickly establish rapport, manage and promote strong client relationships and deliver excellent event support services;
  • Be on site to assist event clients and respond to enquiries regarding services, equipment hire, and other event related requirements;
  • Work with the HSE Manager & Venue Operations Team Leader to ensure that the venue/event is safe to operate and that any related risk/maintenance/safety issue is reported and actioned;
  • Receive and report feedback from customers and clients and proactively address any issues, seeking to identify continuous improvement opportunities wherever possible;
  • Supervise and provide direction for support staff including casual and contract staff;
  • Assist in day to day coordination and management of facilities activities;
  • Liaise with the facility management team to ensure venue maintenance activities and issues are communicated and responded to in a timely manner and participate in pre and post site inspections of the venue as required;
  • Ensure event plans, debrief reports and checklists are completed in a timely manner and that post event debriefs are conducted as required;
  • Maintain effective communication with both client and supplier to ensure all events are delivered to the satisfaction of the client and the RASV;

Venue Operations Coordinator - Advert

Volunteer Program Management Assistant 

The purpose of this position is to assist in the management of the Royal Melbourne Show Volunteer Program including pre-Show volunteer recruitment, shift allocation, and communications processes as well as taking on some volunteer team management duties during the event.

You must be able to work full-time 19 August to 20 September and then for the 11 days during the the Royal Melbourne Show - 21 September to 1 October 2019.

Key Responsibilities:

  • Attending to a large volume of administration duties and managing email, in-person and phone correspondence with volunteer applicants.
  • Managing information within internal databases and spreadsheets.
  • Answering calls, emails and queries with a friendly and helpful demeanour and in a timely manner. 
  • Work well as an assistant to the Volunteer Program Manager, effectively taking on instruction and feedback, while completing tasks as requested.
